The Field Manager is an admin-friendly tool that lets you access and manage fields across multiple queues within Rossum simultaneously. It provides you with an overview of the different usages of fields across your queues, allowing you to easily identify and eliminate any inconsistencies in the setup.
Please note Field Manager is only available to admin and group-admin users.
How to access the Field Manager
To access the Field Manager, go to Settings on the top of your screen and select the Field Manager option.
In the main view, you will find a list of all your fields set up in your schemas across your organisation. Their details are organised into columns: Field ID, Queues, Label, Field Type, Data Type, and Value Source. Each field’s detail shows the available variations and their number of occurrences.
You can add filters, choose sorting, and pin columns by hovering over the column name and clicking the ‘three-dot menu’ icon. The column width is also adjustable.
How to manage fields
Select the field you’re interested in to view its details, like you can see in this example with document_id. These details are organised into columns of queue and schema field attributes. Each occurrence of the field is arranged individually in a row, displaying its queue location and assigned field attributes. You can also apply column filtering, sorting, and pinning similar to the main view
The total number of field occurrences and variations are displayed at the bottom of the screen. If a field occurrence has the same detail configuration across all occurrences, a ‘same’ label is applied.
Edit a column detail by clicking on it to change the value or select the appropriate attribute.
In each row, you will notice a ‘three-dot menu’ that allows you to do more with the field:
Open: Access the field editor page where you can continue editing the field.
Remove: Delete the field from the queue it is located in. Click on the Remove option and confirm deletion.
Duplicate: Duplicate the field and its schema attributes to other queues. Click on the Duplicate option and then select the location where you need to duplicate the selected field settings. If the field is already present in all other queues you’ll see a message confirming such case.
Copy to Clipboard: Copy the field details configured in one queue and paste them into fields in other queues. Click on the “Copy to clipboard” option, then select the field occurrence where you want to paste the details and click ‘paste’.
How to add new fields
To begin with, click the Add field button in the main view. Next, you will be prompted to select the location of the new field by specifying the queue and its schema section.
Lastly, you will then be directed to the field creation page, where you can easily set the schema field attributes of the new field.
