Editing documents in Rossum

The “Edit Document” section in Rossum is where you can make adjustments to documents uploaded to your queues. The available options include:

How to access the “Edit Document” section in Rossum

To access the “Edit Document” screen, open the document and click on the scissors icon located on the upper left side of the validation screen.

You can also access it through the queue dashboard using orange scissors icon (if split suggestions are enabled for the queue)

or via the grey scissors icon next to previously edited documents (it will allow you to check original document)

What you can find in the “Edit Document” section

The “Edit Document” screen is divided into two sections. On the left side, you will see the original document, while the right side is your workspace, where you can make adjustments to the pages. You can enlarge the left section to get a better view of the original document by dragging the border towards the left side.

At the top bar, you can find important information about the document:

  • The total number of pages in the document

  • The number of parts, which are new documents that will be created after you split the file

  • The number of deleted pages

In this section, you also have the option to show or hide split suggestions (if available) and download the original document. Simply click on the button with three dots to access these features.

Once you have made your adjustments, you have the option to either confirm your changes or discard them.

How to perform specific actions within the “Edit Document” section

Changing the orientation of pages

You can easily rotate the document by 90, 180, 270, or 360 degrees in the left or right direction.

To apply this action to a specific part (a group of one or more pages that will create a new document after the split), simply click on the arrow icons assigned to it.

For individual pages, hover over the page, and arrows icon will appear. Click on it to rotate the page as needed.

Deleting unnecessary pages

To delete a specific part (a group of one or more pages that will create a new document after the split) click on the bin icon assigned to it.

For individual pages, simply hover over the page, and the bin icon will appear. Click on it to mark the page for deletion.

Splitting the document

To split a document just click between the pages, and new parts will be automatically created for you.

If there are split suggestions available, you can accept them with a simple click of “Confirm.” But you are not limited to that – you have full control. You can disable the suggestions and manually adjust the split as you like.

If you come across unnecessary pages, it is easy to delete them during the split process.

Changing the order of pages in split documents

To change the order of the pages, you can easily use the drag and drop feature. Just click on the page you want to move on the right panel of the “Edit Document” screen, hold down the mouse button, and then move the page to the desired location. You can move the page between different parts or within the same part.

Moving documents to another queue after splitting

To move the new document created after the split to a different queue, click on the blue folder icon assigned to the specific part.

Once clicked, a pop-up window will appear, allowing you to select the target queue where you want the new document to be moved.

The name of the selected queue will be visible next to the pages.

The document will be automatically moved to the chosen queue once you confirm all the changes you have made during the split.

Checking the original document and correcting the errors

After editing a document, you will notice an orange indicator above the scissors icon on the newly created documents. Clicking on this icon will redirect you to the “Edit Document” screen.

Here you have access to both the original document preview on the left panel and the edited document on the right panel. This allows you to easily compare the two versions and identify and fix any errors.

You can make adjustments as needed, such as:

  • Changing the split points to refine the document parts

  • Rearranging the pages within a part or between different parts

  • Deleting any unnecessary pages

  • Rotating the pages

What happens after the document is edited

When you edit a document and confirm the changes, all annotations labeled as “Edited” on the “Edit Document” screen (as shown in the screenshot below) will be purged, and new annotations with new IDs will be generated in their positions.

Annotations that are not marked as “Edited” will remain unchanged.

It’s crucial to note that you will only be charged once for the uploaded pages, and editing the document, even if it leads to the creation of new annotations, will not generate additional costs.

How the annotation status affects the editing possibilities

In Rossum annotations go through different stages during their lifecycle. When a document is in the “To Review” state, users can make edits to different parts of it. However, if another user is currently reviewing a specific part of the document, editing on the “Edit Document” screen will be temporarily disabled for others.

It is important to note that once parts of the original document have advanced to a different state (e.g., “Exported”), they become uneditable.
